Who we are

Zaranko Dental Practice is a private dental practice at 19A/D Manor Way, Billingham, TS23 4HN. We are the data controller for the information described in this policy. You can reach us on 01642 566615 or at [email protected].

What we collect

  • Contact and identity details, such as your name, date of birth, address, telephone number and email address.
  • Clinical records, including your dental and medical history, treatment notes, charting, radiographs, photographs and scans, and any medicines or allergies you tell us about.
  • Appointment and billing information, including the treatment you have received and payments made. Card payments are handled by our payment provider; we do not store your full card number.
  • Correspondence, including emails, letters and notes of telephone calls between you and the practice.
  • Website information, limited to what is needed to keep the site running and secure.

Why we hold it, and our lawful basis

Your dental records are health data, which UK GDPR treats as a special category needing extra protection. We process them under Article 9(2)(h), the provision of health care and the management of health care services, and under Article 6(1)(c) and 6(1)(f) for our legal obligations and legitimate interests as a healthcare provider.

In practice, we use your information to plan and deliver your treatment safely, to keep an accurate clinical record, to contact you about appointments, to take payment, to meet our obligations to regulators and insurers, and to respond if you raise a concern.

We will only send you marketing if you have asked us to, and you can stop it at any time by telling reception.

Who we share it with

We do not sell your information and we do not share it for advertising. We share it only where your care or the law requires it, for example with a dental laboratory making an appliance for you, a specialist we refer you to, your doctor where it affects your care, our insurers or professional advisers, and regulators such as the General Dental Council or the Care Quality Commission. Our IT and payment suppliers may handle your data on our behalf under contract.

How long we keep it

We keep adult dental records for at least eleven years after your most recent treatment. For patients treated as children, we keep records until their twenty-fifth birthday, or eleven years after the last treatment, whichever is later. After that they are securely destroyed.

Keeping it safe

Records are held on secure systems and in locked storage at the practice. Access is limited to the people who need it to provide or administer your care, and everyone at the practice works under a duty of confidentiality.

Cookies

This website uses only the cookies needed to make it work and to keep it secure, for example to remember you if you log in and to support page caching. We do not use advertising or tracking cookies. You can block or delete cookies in your browser settings, though parts of the site may not work as expected if you do.

Your rights

You have the right to ask for a copy of the information we hold about you, to have inaccurate details corrected, and in some circumstances to ask us to restrict or erase it or to object to how we use it. Because we have legal and clinical obligations to keep accurate dental records, we cannot always erase them, and we will explain our reasons if that applies.

Complaints
